Keeping In Touch

It is important to CCS to stay in touch with our customers. We want to make sure that your system is running properly and that there are no issues that have fallen through the cracks. To this end, I try to call each of you three to four times a year.

If there is anything you have questions on – your system, our response time, a solution that additional software, training or hardware can resolve – whatever it is, please let me know. One of my major responsibilities is to make sure that you are happy with our service.

I’m always just a phone call or email away!

What is the Inventory Recalculation Utility?

What is the Inventory Recalculation Utility?

This utility has been around since the early versions of CounterPoint. It’s original design intent was to allow end-users to recalculate the Inventory Status Location Quantities (Quantity Committed, Quantity Available, Quantity on Purchase Order, Quantity on Transfer, etc.) to match the actual transactions that are currently on file. This utility also resets the item master record summary totals.

This usually leads to the next question…

Why are my quantities out of synch?

Various anomalies or events that have occurred over time may have caused this to happen. The following is a general list of possible events that might merit using this utility:
  • Power Failure.
  • Hardware Crashes.
  • Network disconnections.
  • End-users locking and rebooting their workstations.

How often should this utility be run?

Generally, I would recommend running this utility a least once a month, at month end, or before any Physical Counts are started.

I was using CounterPoint version 7.5.X, and we recently upgraded to CP SQL 8.3.8. Is there any difference between how this works in the two versions?

Generally, no… However, in CP SQL 8.3.X, if Multi-Site is being used, this can only be run at the Hub (First Site Server). This is due to design differences in both the CP SQL software and the Peer Direct (Progress) data replication software handles files.

If you are experiencing any of the above mentioned problems, or if you are having difficulty getting the utility to run, please call the CCS Retail Systems Support Department for assistance.

Information is the key to resolving issues

As you know, we are here to help you with any questions or issues that you encounter with your computer system.  In order to make the most efficient use of your support dollar, you should gather and record as many details as you can before contacting us.  For example, does the issue arise when there are two different stations using the software?  Does it occur apparently randomly, or is it consistent?  Are there any error messages generated?  The more details that you can gather ahead of time, to pass on to us, the more efficient we can be in addressing your issue.

Some issues are truly random events, particularly if the underlying cause is a problem in the hardware.  However, the vast majority are consistent, if the same criteria is used.  They may not show up, if anything different is done, however. Remember that your system is multi-user.  Resources are shared, so the overall pattern of use is important to isolate conflicts.

Among the helpful information for us to know, is the following:

  • The sequence of events that lead up to the error:  At times, an issue only arises when a particular sequence of steps is taken.  Report-A may fail, only if it is run immediately after Posting-Q, for example.
  • The options that were selected:  When running a program or report, it is very common that an issue will arise only with a give option, or set of options.  If we are trying to test, and are using a different set of options than you, then we may not encounter the issue.
  • Any error messages or codes that were generated:  A message such as "k-trap: 0x0000000E" may not seem like it is means anything, but it may be very valuable in determining what is causing the issue.
  • Any other information that you have, that may be related to the issue.

Writing down information such as this can be very useful.  We suggest keeping a log at every workstation, and log any errors, or issues, that arise.  If there are error messages on the screen (or the options selected), you can copy the screen by pressing (hold down the "Ctrl" key, and hit the "PrtScr" key).  This makes a copy of the screen. This can be pasted into an email message, by selecting "Edit", and then "Paste" (or doing Ctrl+P ), when you are in the body of the email.  By sending that email to us at support@ccscentral.com, we will be able to look at the same thing that you are seeing.

Sometimes it is surprising what piece of information can be the key to isolating, and addressing, and issue.  There are many times when seemingly unimportant information leads to finding the underlying cause, and ultimate resolution, of an issue.  After all, that is what we want to do for you:  Resolve any issues that you have, so your system, and company, operate at peak efficiency.

Dave.

Regarding Voice Mail

During regular work hours, your telephone call will be answered by a real live person.  After hours or on weekends, it may be necessary for you to leave a voice mail message.  Often, when a voice mail message is left for us, missing or garbled information makes it difficult for us to understand and respond to your message.  Please remember the following when you leave a message.

  • People tend to talk rapidly when they are stressed about an issue.  Talk slowly to be understood.
  • Remember to identify yourself and your company.
  • A contact name and telephone number are essential.
  • Briefly describe the problem.
  • If you’re calling from a cell phone, please be sure that you have a clear connection.

Keeping these basics in mind will guarantee that your message will be understood and interpreted with accuracy.  Your call is important to us!

CounterPoint Upgrades

As you know the CCS Support Department is here to help you any way we can, when it comes to computer hardware or software problems.  We also understand that sometimes you will feel inclined to take on some of these tasks yourself or have your in-house or local IT person take care of this for you.

When it comes to upgrading CounterPoint we recommend that you call us for help, or at least make sure someone is available to assist you in case a problem arises.  Since many upgrades/updates are done in off hours, you don’t want to be without a system when the doors open the next day.

We recommend you wait anywhere between 30-60 days BEFORE installing the latest release. As with any software supplier, a service pack is best left to get some customer feedback before adopting it. You are familiar with this in the service packs you get from Microsoft.  This way any flaws can be worked out and fixed first.   Before starting an upgrade on your own, there are some things you should do to prepare:

  • Read the entire upgrade guide provided on the CD-ROM –  There are often Pre and Post Upgrade routines the must be performed.  If you have questions, DO NOT go ahead before clarifying the procedure.
  • Make sure your server and workstations meet at least the minimum system requirements recommended for Hardware and Software.
  • Be sure you have the latest Service Pack for the version you are upgrading to downloaded and ready.  Check that the downloaded file(s) are OK.  Use a checksum, file size or whatever is provided as a verification.  If they are zipped, unzip them to make sure this succeeds.
  • Make a full system backup BEFORE starting.
  • Make sure you have the new registration key for the version you are upgrading to.  If a new key is needed, failing to do this will make the procedure incomplete, and the software may be unusable.
  • Make sure ALL users are not using any part of the software while the upgrade is taking place.
  • Write down EVERYTHING you do in chronological order.  You can then check against the instructions, determine why something did not work, be able to ask for help, and document the changes for your ongoing records and in-house user memo summaries.
  • You don’t want management to wonder what was accomplished, or the users to discover it by accident.  Make this information known in the right manner, with the right tone. Don’t scare them that the computer changed, inform them that we have some new features.  Ask them to tell you if they have any questions or concerns. THIS IS CRITICAL.  Problems are sometimes just misunderstandings.  Do NOT cause a panic by skipping this step.

Not having or knowing 1 or more of these tips can make the upgrade process a disaster.  If you do not know how to find your registration or need help downloading the Service Pack, please give CCS Retail Systems a call at 800-672-4806 or email me at support@ccscentral.com.

Remember that we have after-hours and weekend support options.  These need to be scheduled in advance. Call us in enough time to be available for you.

Have a Great Day
-Bryan

How CounterPoint Enables You to Track & Market to Customers

Customer Tracking is an integral part of CounterPoint SQL. The software retains complete details of every customer, including detailed sales history.

With the Receivables Option, you can charge sales, track accounts receivable, credit limits, account aging, cash receipts processing, and statement printing. A customer may be set up within the Customers portion of the software, or “on-the-fly” in Point of Sale. Basic customer information includes name, address, email, two contact names, fax numbers, and phone numbers.

A customer may be assigned to a specific category that you define. This allows you to group similar customers for reporting and analysis, loyalty programs, and discounts. Customer Profiles allow you to build a valuable database of information to assist in analyzing and marketing to your customers.

Up to 20 user-defined profile fields may be tracked for each customer, such as birthday, preferences, membership status, etc. Use this information to target market customers based on their buying habits, geographical location, birthdays and anniversaries, or even their favorite colors or items.

CounterPoint SQL allows you to reward loyal customers with points that can be earned and redeemed in a manner that you define. This means customers can earn points for all items they purchase or just for certain items. The number of points can vary based on the item number, category, vendor, etc. as well as sales info (date, store, day of the week, time of day, etc.).

So Customer Tracking is just one way that CounterPoint SQL offers a return on investment for you and your business.

Give me a call today to discuss other ways a system not only pays for itself, but provides a significant increase in sales!

CCS’s Hardware Solutions for Retail Stores

The solutions I have discussed up to this point in earlier articles were all about the software, and what it can do to help your business. Today, I’d like to point out the Radiant All-In-One solution Retail Station as the lowest total cost of ownership over time.

The most advanced POS terminals, the Radiant 1520, 1550, and soon the 1750 are bundled with top-of-the-line peripheral devices to provide you with everything you need for running an efficient store. They have a lower total cost of ownership because they run longer than competitive products, and return to service faster if maintenance is required.

These durable units are designed for the retail environment, so can withstand water, dirt, and dust to a much greater degree than a personal computer or competitors’ machine. If you’re interested in seeing just how durable they are, ask me to send you a video that demonstrates just that.

When you choose CCS as the single source for your software and hardware needs, you reduce implementation risks and optimize the technology solution for your operating environment. Call me today to discuss what options are most appropriate for your business!

Remote Support Techniques

Remote Access to your system helps CCS Retail Systems support your company more quickly and more effectively.  We can help you without the potential delay of scheduling and travel.  The problem can be experienced firsthand.  We are at our office with all of our reference material and diagnostic aids.

There are many ways to allow access us to your system.

For Windows there are a few third party programs and some built-in programs depending on your version of Windows.  If you are a Mac user there are versions for some of these for you.

·  Symantec PC Anywhere: A Remote control and file transfer system. It requires an Internet Circuit or dial-up connection.  Best if you do not have the Internet. Commercial.
·  Remote Desktop Protocol (RDP): A Remote control system. It is built into Windows XP and higher. It requires an Internet circuit.
·  Remote Assistance Connection: Similar to RDP but allows you to participate in the session. Also built into Windows.
·  LogMeIn: A browser-based remote control system. Your computer hosts our browser link.  Freeware.
·  VNC: A remote control systems. Your computer hosts a graphical connection from our computer over the Internet. Freeware.
·  There are many others, these are the ones we commonly recommend.  See http://en.wikipedia.org/wiki/Comparison_of_remote_desktop_software windows columns for more information.

For UNIX/Linux Systems there are several products that can be used, as well.  They can be text-oriented or graphically-oriented.  We normally just need a text interface.

·  Telnet: A text interface built into UNIX/Linux.  A remote session system.  It requires an Internet circuit or dial-up connection.
·  VNC: A remote control systems. Your server hosts a graphical or text connection from our computer over the Internet. Freeware.
·  SSH: A secure telnet connection. Freeware.
·  There are many others, these are the ones we commonly recommend.  See http://en.wikipedia.org/wiki/Comparison_of_remote_desktop_software Linux/UNIX columns for more information.
If we are using the Internet for remote access there maybe some network configuration involved with your DSL/Cable modem.  CCS Retail Systems can help you configure properly and securely, if needed.

By having remote access to your system CCS can usually fix or help you through your problem much quicker than trying to walk you through some complicated commands. Especially if they are not very tech-savvy. This also gives us more access to important files like logs which can allow us to find the problems quickly.  The result can be a saving of time and support dollars.

Anti-spyware is as important as anti-virus

We hear all about the importance of anti-virus software these days, but how many times do we hear about the need for anti-spyware software?

Spyware is very prevalent these days.  Many times simply visiting a web site will load spyware on your computer, with no indication that it is being loaded.

Spyware is software that is on your PC, which runs in the background without your knowledge.  In the simplest form, it tracks what web pages you visit, and sends this information (without your knowledge) to a site that collects it.  This is usually done for the purposes of sending ads and spam to you that are targeted to your interests.  In more malicious instances, it can collect your login information such as user name and password for things such as your bank, and the information needed to access your credit card.

This is why having anti-spyware software is every bit as important as having anti-virus software.  In addition to running the software, you need to ensure that the software is kept up to date.  The bad guys are always coming up with new means of attacking, so your anti-virus and anti-spyware software needs to be kept current to keep up with the latest scams.

If you have noticed that your computer is running slower than it was, there is a very good chance that you have spyware on it.  That is very often the first noticeable sign that it has been loaded.  If you do not know if you are running anti-spyware (or anti-virus) for that matter, we can help you make sure that you are protected.

Wireless in the Workplace

I have been getting more questions about wireless networks in the Workplace lately.  And with more people using wireless in their homes it seems to be slowly creeping into the workplace more and more. If properly setup wireless can make your network a little easier to maintain by removing some of the wires and holes in the wall previously needed.

Here are a couple considerations to keep in mind BEFORE going to a wireless network.

Depending on the wireless device (access point or router) you purchase the speed of the network might not seem as fast as a hardwired network.
This is because most access points, routers or wireless network cards transmit/receive data at a rate of 54 mbps, where as a hardwired network card and a standard cat5 cable transmit/receive at 100 mbps (Megabits Per Second) although faster wireless devices can be purchased there is still the fact of what speed your computer is actually connecting at.  For example even though your wireless device is rated at 54mbps (even if it was rated at 108 mbps) you may still only be connecting to it a rate of 24 mbps.  Much slower then the rated 54mbps and about a quarter of the speed of a wired network.

Another thing to consider is how spread out are the devices to be connected wirelessly.  Most of the cause of speed and connection issues are because your access point is located in a spot with interference or just too far away.  There are some ways to improve performance.
One way is by moving the access point/router in a more central spot for better reception.   Although this will not guarantee the best performance it may give enough of an increase to be tolerable.

The reason I bring this up (besides the questions) is because we recently had a customer try to change to an all wireless network on their own without considering the things that were mentioned and were having a lot of trouble keeping connected to the Internet and the applications they use everyday and getting frustrated.  Being that moving equipment was not what they wanted to do we ended up using the old hardwired approach alleviating much of the frustration they were experiencing.

If you are considering going wireless consider calling our Support Department at 800-672-4806 or email me at support@ccscentral.com so we could setup a review of your site to see if wireless will truly be an upgrade instead of a possible frustrating test.  As wireless technology gets better and better I am sure we will see it in the workplace as commonly as we see computers.  But until then keep these thoughts in mind.

Thanks
-Bryan
