Year-end Inventory
It’s not too soon to start thinking about year-end inventory; we’re in the middle of December, already! The thought of this project makes most retailers groan, but with a little advance preparation, the task can be much less difficult.
Dave Carlson, CEO of Shopventory, a leading provider of inventory management and optimization solutions for medium to small business, provides seven steps for making your year-end inventory as smooth as possible.
Assess your current status – what do you think you have in stock and how much money do you think is tied up in this? You will want to compare this to the final results of your inventory count when it’s completed.
Prepare – Let staff know when the inventory is to be done, and whether it will be during business hours or not. Print out count sheets with columns that are appropriate for your business.
Do the count – Divide store floor into sections and assign counters to each section, preferably two, so that they can compare each other’s count for accuracy. No cell phones should be allowed on the floor. Tell counters to check for products that may be above, below, or behind a shelf or even in the back. Alert counters that random checks will be done by a management person.
Make it as fun as possible – Counting is tiring, so bring in snacks and drinks for breaks, and allow time for employees to have short breaks to check phone messages.
Assign a troubleshooter – Discrepancies happen, so have a troubleshooter available to help with finding the missing product. This allows counters to keep focused on the task of counting.
Manage your overstock – Count overstock/bulk stock/back stock areas a day or two before actual floor count, mark boxes as counted, and don’t return them to floor until count is completed.
Reconcile – Enter adjusted counts in your Inventory Management System when you are sure they are good, carefully noting why changes are being made, and showing who is making the changes.
So there it is! Following these steps will simplify the process, provide better results, and take some of the dread out of a very critical operation.
