Year-End Closing, Inventory Counts, Freezing Inventory, Adjustments, and Posting.

When you need to take stock of your inventory, such as year-end closing, you can depend on Counterpoint physical count features.  You can freeze inventory quantities for specific items, vendors, categories, a single stocking location, or all stocking locations. This flexibility allows you to count only part of your inventory, while normal operations continue in other departments or locations.  

You can enter counts manually—from quantities recorded on printed worksheets—or import them from handheld scanners to streamline the counting process. You can also record up to six count quantities for each item (e.g., from different areas of your store).  Posting physical count transactions automatically adjusts on-hand quantities for items where the frozen quantity and the counted quantity varied. You can skip uncounted items, set their on-hand quantities to zero, or assume their frozen quantities are correct.

You can use the same prompts for all serialized items, or you can associate different prompts with different items. Responses to serial prompts are retained with the transaction detail for each serialized item and are available for viewing and reporting.

For accounting purposes, you have the option of using the serial cost method to track the specific cost of each “always serialized” item, versus the average cost method used for other items.

Connecting with Customers – Part 2

Last week, I talked about using Loyalty Programs in Counterpoint to keep customers coming back.  Another way to keep them coming back is to stay in contact with them.   Most of you have probably heard of Constant Contact – it’s an email marketing program.  But you have to keep it up to date with email addresses and pick the customers you want to send a specific email to.  What if you could have something that connected directly to your Counterpoint database?   What you need then is Customer Connect.   An email marketing program that pulls information directly from your customer database.

Enter you customer’s email just once in Counterpoint and it will be populated in Customer Connect.   No double entry.  Then you set the email campaign you want to send and it will look at your database and pull the customers that meet the campaign specification and send out the marketing piece you have put together.  

Some of the more popular ones are:

  • Welcome email – whenever a new customer is entered in Counterpoint they get a Welcome email from you.  Maybe you want to offer them a discount to come back in.
  • Haven’t See You In A While – Setup a campaign to look for customers who haven’t bought anything in a specific amount of time – email them and offer them a special to come back in.
  • Happy Birthday – get your customer’s birthday – either date or month and put it in a profile field.  Then at the beginning of each month sent out a Happy Birthday greeting and tell them to come in a get a present from you.
  • Sales – having a sales on specific product(s)?  Setup a campaign for that and Customer Connect will search you database for customers who have bought the product(s) in the past and email them that it’s going on sale.
The great thing about this is, for most campaigns, you can set them once and schedule multiple periodic future runs.   You don’t need to do anything other than the initial setup.   If your customer gives you their emails, birthdays, favorite color, animal’s name, kid’s birthday and whatever else you dream up – they will be expecting emails from you.

I know if works for me.  Every August when my birthday rolls around, I start looking for those emails that say I get a free ice cream cone or a discount at a store I shop at.   It gets me back there to spend my birthday money!

Are You Connecting with Your Customers?

Are you connecting with your Customers?  And if not – why not?
 
Customer Loyalty Programs and email marketing are just a fact of life any more.   I remember when loyalty programs 1st came out at the groceries stores and they wanted your phone number and email.  Everyone thought this was so intrusive!   Today we don’t think anything of it.   I’m signed up for loyalty programs at every store I shop at.  I even have a separate key chain in my purse that just has store cards on it.  And I have a 2nd email that I give out for these programs.  That way I can read them as I have time and not have them clogging up my business or personal email.  More about email marketing in my next blog.
 
I’m also a bargain shopper.   An example is that I shop at 3 major drug stores in our area.   One accumulates points and gives you discounts based on your total points from the previous year.  I’m at their highest level and get a 20% discount on items not on sale.   So if I need something and none of the 3 stores has it on sale, I go to that store to get my 20%.   And of course I buy more than I planned!
 
So loyalty programs work and keep customers coming back. COUNTERPOINT has a number of different ways within the system to setup different programs.   You could do a Senior Discount program by just setting up a customer type.   One of CCS’s customer does just that.   They give 10% discount to seniors every day of the week and then they have Senior Tuesdays where the discount is 20%.  Guess which day of the week they have their highest sales?   And they have loyal customers that keep coming back.   So depending on what you sell and where you’re located, a simple program like this can drive sales your way.
 
There is also a Loyalty Program built into COUNTERPOINT that allows customers to accumulate points on purchases (you define which products or categories) and then those points can be redeemed for future purchases or special incentives.  These points can be redeemed at Point of Sales, just like any other form of payment.

March Madness

So we are now on daylight savings time and it’s the middle of March – which means MARCH MADNESS!  Even if you are not a basketball fan and you don’t fill out your brackets you can be effect by this yearly phenomenon.    Internet speeds tend to slow way down during this time – whether people are just checking scores or streaming a live basketball game.    So keep that in mind if you’re getting frustrated trying to get to a site.    But if you think it something other than that, please give us a call and we can help you do some sleuthing.

And if you are a business owner, keep in mind that millions of hours and dollars are lost to businesses during this time.   You might want to set up some policies about Internet access or block sites all together.   Or setup a pool in your office with the caveat that only one person can be on the Internet to look up scores.   Anyone else who does it automatically forfeits their bracket and their MONEY.

If you want to keep customers coming back, setup a MARCH MADNESS game at your store or office.   It doesn’t have to be brackets only – anything that gets customers involved is a good thing.

Good Bye to an Old Friend!

This is for all our Counterpoint version 7 customers.  

As I’m sure you are aware, Counterpoint v7 is coming to it’s end of life.  After December 31, 2015, NCR will no longer enhance or support v7.   Many of you have been using this product for a long time and it’s hard to say good bye.  But sometimes you have to make a change and move forward.   We just went through this at our office with a change of phone systems.   You would think something as simple as a phone system wouldn’t be a big deal to change, but when you’ve use the same analog system for over 25 years it was harder to change to a digital phone system than I thought.  So my new phone system mantra is “CHANGE IS GOOD“.   Although things are not the same,  there are some great features that will make our life easier.

The same is true for Point of Sale system changes.   There is so much new technology, that sometimes you don’t know what you are missing.   The new version of Counterpoint is a SQL based program.  This moves the bar up several levels in the feature-set for Counterpoint users.  Things that might have take time and energy to do in v7 can now be done with a couple of keystrokes.  Want to export a report to a spreadsheet – click and done.  Want to email a statement or invoice – click and done.  

So what happens on January 1, 2016 if you do not migrate to SQL?   Initially Nothing, you can continue using your system just as it is, but there will be issues that start to pop up ongoing.  Here are 2 main ones.

#1 – PCI and EMV Card Processing Compliance.  Since v7 is no longer being update your system will no longer meet VISA/Master Card regulations if you are swiping credit cards.

#2 – Window 10 will soon be the current operating system.  Windows 7 has been obsoleted by Microsoft.  There are sure to be issues with drivers for v7.  A printer that has always worked may no longer work in this new configuration.

Plus there are great new Application Add-Ons:

SMART ALERTS – want to know what’s happen in your store while your out?.  Smart Alerts will email or text you real time updates on sales and operations.  Catch poor sales performance and adjust on-the-fly; monitor system problems immediately  Don’t let problems like these fester..

CUSTOMER CONNECT – are you using a 3rd party package for email marketing?  Customer Connect will allow you to integrate your marketing campaigns with your Counterpoint software and customer base.  Setup a campaigns like “emailing a discount to anyone who hasn’t been in the store for 3 month” or “new product releases and add-ons for customers with existing products” and it’s automatically done on a schedule.  No long, complicated procedures like pulling reports and sending them to a 3rd party to do a mailing.

This is the time to make that forward move!   There are some great specials to help you get going.

I was working on my home computer recently and it seemed that everything was loading slower than usual. After pondering the situation for a few minutes, I suddenly realized that it had been quite a while since I last did some “housecleaning” work on my files and on my system.

I devoted a large part of the afternoon to cleaning out the junk. First I cleaned out the Temporary Internet File. Then I deleted old messages in Outlook—sent messages, received messages, deleted messages, and drafts that were no longer needed.  I used an application to clear out old registries, and then ran an anti-malware application. After all this was finished, I ran a complete anti-virus scan.

“What else needs to be done?” I wondered. I decided to run the defragmentation application to maximize space. This took a while, but the result was worth the effort. By now I was really into this cleaning episode, so I decided to make sure all my software updates were current. (Glad I did, since a critical update had not yet been applied).

Next, I stood back at looked at my computer, monitor and printer, and decided that they, too, needed some upkeep. So, I cleaned the monitor screen, replaced the battery in my mouse, and blew the dust out of my computer, keyboard, and printer. I also cleaned behind the computer, dusting off all the wires and connections. (I’m embarrassed to say what I found there!)

When I started using my computer again, everything was running at normal speed. It’s surprising what a little cleaning can do!

What Hours are You Open?

When Are You Open?

Its 3 weeks and counting until Black Friday.   This year more large retailers are starting their sales at 12:00AM on Friday the 25th.   And while I’m not suggesting you do that, maybe it is time to look at your store hours over the holiday season.

Are you open hours that are convenient for your customers?   Or convenient for you?   The days of mom being home and able to shop during the weekday are long gone.   And a lot of times weekends are taken up with kids’ soccer games or other commitments.  So look around you and see what hours other local retailers are open.   If you are not open at night during the week, can you pick one or two nights – Thursday & Friday maybe – to stay open until 8 or 9P during the holidays.   If you’re not there, customers will just move on to someone who is open.

Get people into your store on that extra night you are open by doing something special. Have free gift wrapping and cider & cookies.   Donate a portion of your profits to charity one night.  Sponsor a "Giving Tree" for foster kids.   Ask for food donations and give a 10% discount.  

Competition is high for the consumer’s dollar.   You can’t compete with the big guys on $, nor do you want to.    But you might need to stay open a few extra hours so customers can get to your store.   In my case, I’m an early morning shopper – so I can bet the crowds.  On Sunday mornings, a lot of small retailers don’t open until noon.   By then I’m done shopping and on my way home.  So during the holidays maybe you need to look at opening a little earlier on the weekends.

Remember the whole objective is to make it easy for a customer to shop with you and keep them coming back.

Layaways???

What? Layaways? YES!!!! 

A returning trend over the last couple of years has been the use of layaways for customers. The once popular payment method lost its usefulness in the 1980’s & 90’s when credit cards became the most popular way to pay.

Move forward to 2008 and the economic downturn.  Large retailers saw layaways once again as a way to help their customers, and keep their sales numbers up. Per the NRF, Sears and Kmart have had success with the return to a layaway program. And this year Walmart is making a big advertising push for layaways. If you haven’t seen their ads yet, you soon will. They are on TV about every 5 minutes .At least on the channels I watch. And I’m a pretty typical consumer.

So the good news for CounterPoint users is that layaways are built into your software. Just a couple setup steps and you are ready to go. Hang a sign up, stuff a flyer in your bags, send out an email (hmmm maybe I need to sign up for Customer Connect) and let your Facebook or Twitter fans know that they can buy from you and make payments. This is a good way to get them committed to a purchase, so that don’t keep looking. The budget-minded shopper will really appreciate this and you might get a customer for life!

So Halloween is over and crunch time is almost here.   What can you do to get more sales this year?   Maybe layaways is an option you are missing.
