Using Templates to Create Customers and Items

Counterpoint SQL has the ability to use templates when creating customers and items.  To use them you setup one or more template customers and items first.  The template customer and item number used for new items is defined in the workgroup setup.  You can have a different template customer and item for each store, if you use different workgroups for each of your stores.

The advantage of using template records, is that you can set your defaults in the template reducing input and entry mistakes.  Say that you always want the sales rep for each store to be set to a particular sales rep id.  In that case (if different workgroups for each store), you would setup a different template customer for each store.  In the template customer, you would set the sales rep to the appropriate sales rep for the store.  In the workgroup setup, you specify what the template customer number is for the workgroup.  With the template created, when a user adds a new customer the template customer is copied into the new customer record.  In this example, the sales rep will be filled in as soon as the user opens the add-new-customer screen.

The information from the template customer that is brought in to the new customer record can be changed, if desired.  Therefore, if you have fields that are set a particular way "most of the time", using a template still will work.

Template items work the same way as template customers.  Fields from item templates are used to fill in fields on the new item when it is added.

By using template records the number of customers and items that are added with fields that are not set incorrectly can be greatly reduced.
